Privacy Statement
Important & Imperative Business Solutions (I&IBS) is a Home based Executive Secretarial and Training service to businesses that is committed to providing you with the highest levels of customer service. This includes protecting your privacy. We will collect, use and hold personal information in accordance with the 10 National Privacy Principles, the NPPs, as set out in the Privacy Act 1988 (as amended by the Privacy Amendment (Private Sector) Act 2000). To comply with our obligations under the NPPs we have a Privacy Policy, which sets out how we manage privacy in our organisation.

Purpose of the Policy
I&IBS takes its obligations under the Privacy Act seriously and would like to take all reasonable steps in order to comply with the Act and protect the privacy of the personal information that we hold. This policy sets out how we intend to so.

Privacy and Condifentiality
As members of the recruitment industry we appreciate the importance of confidentiality. This part of the obligation remains unchanged by this privacy policy. The privacy policy deals with your additional right to privacy and is independent of our contractual and ethical obligations I&IBS collects and holds the following personal information:
  • Your name and Business Name if applicable
  • ABN Number
  • Workers Comp Policy Number
  • Contact phone and fax numbers
  • Email addresses
  • Children and family support availability
  • Address
  • Occupation
  • Availability such as working days and times, along with car and delivery information
  • Specifications of home office equipment and resources
  • Career history
  • Skill listings
  • Career plans
  • Consented passport size photograph of you on our application form
  • Signed contracts, Confidentiality, Privacy statements and OH&S documentation
  • Information about your disability and/or health
  • Resumes, registration forms submitted by you and other sources in connection with applications for work
  • Work performance information (evaluations and reviews etc)
  • Information pertaining to incidents in the workplace
  • Information relation to invoice payment – online bank details
  • Information obtained to assist in managing client and business relationships
  • Reference checks (work and personal as authorised by you
  • Certificates
  • Complaints and praise
I&IBS collects, uses and discloses the information in accordance with the Collection Statement. Your personal information is only used to assist I&IBS in supplying you with contract work and/or giving you training and support along with client business relationship management.

We usually collect personal information directly from you via an application Form and through questioning and interviewing. If we do have to ask another person for more information, we will ask you first and tell you why we need the information. You will have to give your written approval saying this is OK before we can go ahead.


Who will your perosnal information be given to?
such as clients and other contractors whom you are required to undertake working projects (jobs) with. I&IBS cannot disclose any personal information about you without you first giving your written approval.
Sometimes your personal information cannot be kept private:
  • When a Court of Law asks for information
  • If you say you want to hurt yourself or other people
  • If you tell us about the abuse of someone who is under the age of 18 years old, this may be you or somebody else.

On occasions we contract out a number of services and contractors may have access to your details eg. IT Contractors and Database Designers, Contract Human Resource Co-ordinators, Administration Staff and Accounting Auditors. Other organisations that may have access to your details from time to time. Important & Imperative Business Solutions may be required to disclose information to authorities or institutions such as Department of Industrial Relations, Work Cover, Workers Compensation, Insurance Organisations or the Australian Tax Office. These authorities and institutions may have access to your personal information.


Help us to ensuire we hold accurate information
I&IBS takes all reasonable precautions to ensure that the personal information we collect, use and disclose is accurate, complete and up-to date. However, the accuracy of that information depends to a large extent on the information you provide. We recommend that you:
  • Let us know if there are any errors in your personal information
  • Keep us up to date with changes to personal information such as your contact details, working situation, skills and training courses.

Your personal information is kept for as long as you request us to keep it. I&IBS will dispose of your personal information by security shredding of your files and deleting any electronic details from databases, when they are no longer required.

If you have any concerns about our privacy practices or wish to make a complaint about how your personal information is managed please contact me, Privacy Officer. Complaints will be handled under I&IBS’s Privacy Complaints Policy.

Access to your personal information
I&IBS provides access to the personal information that we hold about you. Access will be provided in accordance with our Access Policy and a moderate charge may be imposed for providing access. If you require access to your personal information please contact me – Privacy Officer. If at any time you feel your personal information is out of date or inaccurate you may provide us with updated or amended information through our usual collection processes. After notice from you we will take reasonable steps to correct the information which is inaccurate, incomplete or out of date. If you wish to have your personal information deleted please let us know and we will delete this information wherever practicable.


Storage and Security
We will take all reasonable steps to protect the security of the personal information that we hold. This includes appropriate measures to protect electronic materials and materials stored and generated in hard copy. Back-ups are conducted regularly and stored off site and safely secured. We do not contract out data storage or processing functions. If I&IBS does contract out we take measures to protect the information by consenting with you first.

The internet is not always a secure method of transmitting information accordingly Important & Imperative Business Solutions can not accept responsibility for the security of information sent to or received from us over the internet or for any unauthorised access or use of that information.


Changes to Importand & Imperative Business Solutions Privacy Policy
Important & Imperative Business Solutions may amend this Privacy Policy from time to time. We will post these changes on our website to keep you informed on what information we gather, how we might use this information, and how we disclose this information. If you wish to make comments or complaints please follow the complaints process as listed above.
